Mammoet is currently seeking an enthusiastic and motivated individual to support project administration at our Edmonton branch. The successful candidate will possess the ability to multitask, while taking direction from the Director of Projects as well as the ability to complete tasks on his/her own. This position is for energetic individual who thrives in a fast-paced environment and enjoys daily challenges.
Responsibilities (including but not limited to)
Conducts all business in a professional, respectful manner
Coordinates between Client, Project Management, Supervisors and Superintendents regarding Project Schedule requirements
In conjunction with Project Administration updates and reviews all project contracts and invoicing
Ensures the project has all proper contract change notices for any additional works to the original contract
Creates monthly accruals for submittal to the Accounts Receivable
Works closely with the client contract administrator with regards to contractual discrepancies/changes
All activities include all facets of Mammoet activity on site as Mammoet makes no distinction between internal divisions, branches, unions, contracts or other on the project and it is strived to portray a single Mammoet unit with regards to support positions on the project.
Receives and enters time sheets into SAP for payroll.
Creates daily force reports and submits to the client (from information supplied by superintendents)
Prices and audits work orders to ensure all charges are captured.
Creates any project specific reports when necessary
Collects, reviews (and ensure Project Management reviews), and submits for payment any invoices to the project.
Records any meeting minutes as requested by the project (ie. Monthly Safety Meeting)
Updates monthly invoice spreadsheet daily for accuracy.
Confirms hours to equipment in SAP signed LEMs. T.T’s etc.
Files all necessary documents
Job Qualifications
Education/Experience
Completed High School diploma
Minimum of 4 years’ experience in a busy office environment
Intermediate excel and word knowledge
Previous knowledge of invoicing procedures
Previous experience with payroll documentation
Ability to work independently with minimal supervision
Previous experience working with scheduling or dispatching systems is an asset
Previous on-site experience an asset
